The Opportunity

As the Sales & Settlements Coordinator, you'll take ownership of the administration and coordination that underpins the sales and settlements function across multiple luxury developments. You'll ensure purchaser records remain accurate, contracts are processed efficiently, settlements are tracked proactively and stakeholders have complete visibility throughout the purchaser lifecycle.

This is a varied role where no two days are the same, offering exposure across contract administration, settlement coordination, reporting, purchaser communications and project launches.

Key Responsibilities

  • Coordinate end-to-end contract administration, including issuing, processing and distributing contracts to relevant stakeholders.
  • Maintain accurate purchaser records, contract documentation and settlement information across Salesforce and internal systems.
  • Manage and update the internal settlements platform, providing visibility across settlement risks, valuations, inspections, tranche progress and settled lots.
  • Assist with settlement reporting, including finance readiness, purchaser inspections, rescissions, valuations and conversion metrics.
  • Prepare lot status reports for review by the legal team.
  • Monitor deposits and purchaser payments through to unconditional status.
  • Act as the primary contact for settlement commission enquiries.
  • Support project launches and display suites with contracting assistance where required.
  • Maintain current floorplans, price lists, marketing collateral and DisplaySuite information across active projects.
  • Coordinate pricing updates across Salesforce and DisplaySuite, ensuring accuracy across all sales platforms.
  • Manage the daily workflow of the centralised Contracts inbox.
  • Coordinate and delegate high-volume administration tasks to offshore support teams while maintaining quality and turnaround times.
  • Identify discrepancies across pricing, purchaser information and sales systems, working collaboratively with Development, Sales and Analytics teams to resolve issues.

About You

You'll be someone who genuinely enjoys process, thrives on organisation and takes pride in getting the details right.

Ideally you'll bring:

  • Experience within property development, real estate, settlements, conveyancing or contract administration.
  • Previous exposure to off-the-plan residential developments will be highly regarded.
  • Experience using Salesforce or similar CRM platforms.
  • Strong administration and document management skills.
  • Exceptional attention to detail and the ability to manage multiple priorities simultaneously.
  • Excellent communication skills with a customer-first approach.
  • Confidence working across multiple internal stakeholders including Sales, Legal, Development and Finance.
  • A proactive mindset with the ability to identify issues before they become problems.
