We’re partnering with a highly regarded custom home builder in Geelong who delivers beautifully crafted homes with a strong focus on quality, communication and a seamless client experience. With a healthy pipeline of work and a supportive site team, they’re now seeking a Building Administrator to oversee all construction administration from slab pour through to handover.

This role is perfect for someone who thrives in the fast-paced build phase and enjoys keeping operations running smoothly behind the scenes.

The Opportunity

As the Building Administrator, you’ll work closely with supervisors and trades to ensure all documentation, bookings and communication are accurate and on time. You’ll be an essential link between site, office, clients and suppliers—keeping the build tracking smoothly all the way to handover.

Key Responsibilities

• Provide day-to-day administrative support to site supervisors during active construction

• Maintain and update construction schedules, progress reports and compliance documentation

• Coordinate trades, inspections, deliveries, service connections and follow-up actions

• Prepare variation requests, purchase orders and site-related paperwork

• Manage client communication regarding progress, site access and handover expectations

• Organise PCI, QA checklists and prepare client handover packs

• Ensure all project files and internal systems remain accurate and up-to-date

What We’re Looking For

• Experience in construction administration, scheduling or site support (custom home or residential build experience ideal)

• Exceptional organisational skills with strong attention to detail

• Confident communicator who can support a busy site team and keep workflows on track

• Ability to multitask across multiple jobs during peak build stages

• Comfortable using project management or construction software

• A proactive, solutions-focused mindset
