Woods & Co have partnered with a highly regarded and well established volume builder, known for delivering quality residential projects at scale. With a growing non-retail division and a extensive pipeline of work, they are seeking an experienced
Project Coordinator to play a key role in managing and coordinating projects from initial sales acceptance right through to construction and final handover.
This position sits at the heart of the business, acting as the link between clients, internal teams and construction, ensuring a seamless and professional experience throughout the entire project lifecycle. It is an ideal opportunity for someone who enjoys a fast-paced environment, takes ownership of their projects, and thrives on building strong relationships.
The Role - Sales accept & project set up
- Pre-construction coordination
- Approvals, permits and documentation
- Construction support and client communication
- Project close out and handover
Key ResponsibilitiesPre-Construction:-
- Coordinate all pre-construction activities with internal admin, estimating and drafting teams
- Review tender documentation and ensure full understanding of project scope
- Identify missing information and drive resolutions
- Arrange and lead client and stakeholder meetings
- Manage project programs, timelines and forecasting
- Coordinate permits, approvals and insurances
- Ensure all documentation is accurate, complete and ready start on site
Contract Signing:-
- Oversee ordering of permits, warranty insurance and authority approvals
- Liaise with clients to confirm finance and readiness to commence
- Keep all stakeholders updated on project progress
- Ensure jobs are fully prepared prior to site start
During Construction:-
- Act as the main point of contact for clients and stakeholders
- Manage variations, EOT's and contract administration processes
- Monitor budgets, progress and key milestones
- Work closely with site and construction teams to keep build on track
- Coordinate progress claims, invocing and reporting
- Maintain strong client relationships and ensure a smooth building experience
About You - 5+ years of experience across pre-site building coordination within the residential construction industry
- Strong understanding of the technical aspects involved
- Excellent communication and stakeholder management skills
- Ability to manage timelines, budgets and competing priorities
- High attention to detail and strong administrative capability
- Solid knowledge of building regulations, permits and contracts (MBA/HIA)
- Technologically proficient
