Known for its innovation, attention to detail, and seamless client experiences, this business blends design, technology, and logistics to bring standout activations to life.

Due to continued growth, we are seeking a highly organised and proactive Executive Assistant to join the team. This is a dynamic, all-rounder role suited to someone who thrives in a fast-paced environment, enjoys juggling multiple priorities, and can confidently support both office operations and on-the-ground project delivery.

What you’ll be doing

• Providing direct support across marketing & client relations, finance & backend operations, and production & installations
• Coordinating day-to-day business operations, including admin, supplies, and internal processes
• Managing travel scheduling and logistics for team members
• Acting as a key point of contact for client communication and project coordination
• Supporting the planning and execution of photobooth installations and activations
• Managing freight bookings and transport logistics for equipment
• Utilising systems such as Simpro (preferred) and Xero for job tracking, scheduling, and financial processes
• Assisting with general operational logistics to ensure projects run smoothly from start to finish

What we’re looking for

• Highly organised individual with strong attention to detail
• Excellent communication skills and ability to liaise with clients and internal stakeholders
• Proven ability to manage multiple priorities in a fast-paced environment
• Proactive, hands-on approach with a strong problem-solving mindset
• Comfortable working across both administrative and operational tasks
