Woods & Co Recruitment have partnered with a reputable and well-established trade services provider to find an experienced
Maintenance Administrator to join their Programmed Division.
In this pivotal role, you’ll be responsible for allocating and coordinating field technicians and contractors, raising purchase orders, checking job data, and ensuring seamless admin support for ongoing maintenance works. You’ll work closely with Operations Managers, Supervisors, and Field Techs to deliver quality service on time and within budget.

Key Responsibilities: - Allocate incoming maintenance jobs by region, trade, and urgency
- Liaise with clients, supervisors, field technicians, and tenants
- Raise and reconcile purchase orders and supplier invoices
- Prepare work orders and ensure all job data is correct
- Monitor job progress via Simpro and update accordingly
- Finalise completed works for invoicing
- Prepare weekly open job reports for the operations team
- Support the field team with information, updates, and troubleshooting
- Ensure compliance with internal KPIs and operational requirements
What you’ll need: - Previous experience in a similar role – maintenance, facilities, trades, or construction admin ideal
- Simpro experience preferred (or similar job management systems)
- Strong attention to detail and ability to problem-solve
- Confident communicator with internal teams and clients alike
- Ability to prioritise tasks in a high-volume environment
- Strong computer skills, including Microsoft Excel
- A proactive and can-do attitude
